Position Summary

  • Reporting to the Planned Giving Manager in the Department of Philanthropic Planning, the Gift Administration Coordinator plays a vital role in supporting the mission of our organization by managing our internal donor/constituent database and systems. This includes ensuring the efficient, accurate, and timely processing and acknowledgment of philanthropic contributions. This position works closely with finance, stewardship, and donor engagement teams to uphold the highest standards of donor care, gift integrity, and data management.
  • The ideal candidate is proficient with data management systems [i.e., utilizing and navigating Customer Relationship Management (CRM) functions], highly proficient with Excel and other spreadsheet programs, detail-oriented, highly organized, and inspired to serve behind the scenes to support transformational giving. This candidate thrives in a collaborative environment and is deeply aligned with our values and mission.

Responsibilities

Gift Processing & Acknowledgment

  • Accurately process all types of major donations (checks, credit cards, online gifts, stock, wire transfers, etc.).
  • Assist in overseeing timely acknowledgment letters and tax receipts that reflect the organization’s spiritual mission and values.
  • Utilize our donor database/CRM to maintain organized records of all gift documentation in accordance with internal policies and donor intent.

Database Management

  • Maintain and update donor records in the database and/or CRM system.
  • Ensure data integrity, confidentiality, and alignment with spiritual stewardship principles.
  • Assist with data clean-up and deduplication projects.

Reporting & Reconciliation

  • Use the donor database/CRM to prepare regular reports of varying complexity, size, and content on gift activity for finance and development teams.
  • Support monthly and year-end reconciliation with the finance department.
  • Assist with audits and ensure compliance with gift acceptance policies.

Donor Support

  • Support donor recognition and stewardship initiatives that reflect the organization’s values.
  • Collaborate with fundraisers to ensure donor intent is honored and communicated.
  • Respond to donor inquiries with warmth, professionalism, and sensitivity.

Administrative Support

  • Ensuring that information in the SRF data management systems is accurate and up to date.
  • Maintain and update gift processing procedures and documentation.
  • Assist with mailings, donor events, and special projects.
  • Provide backup support for other development operations functions.
  • Assisting with other fundraising functions such as capital campaigns, events, screening sessions and committee meetings as needed or required.
  • Performing other duties as requested, delegated, or assigned.

Requirements

  • Bachelor’s degree preferred.
  • Experience navigating and utilizing a CRM, including inputting data and running both comprehensive and detailed reports. Experience with Microsoft Dynamics preferred.
  • Extensive experience working with Microsoft Excel and other spreadsheet software.
  • Demonstrated ability to use a variety of software, applications, and programs including Microsoft Office, donor databases, and planned giving software/systems.
  • Ability to interact and communicate effectively with SRF members, financial institutions and attorneys/executors/trustees/administrators.
  • Self-motivated and self-directed in both the design and completion of complex projects.
  • Excellent interpersonal and listening skills with ability to work harmoniously with other staff members and volunteers, to take instructions from others, to be mentally engaged in a meaningful way that shows understanding and openness to contribute and share information, and to function as a viable member of the department.
  • Ability to demonstrate a high degree of honesty, integrity, positivity, diplomacy, tact, and courtesy.
  • Self-starter with an entrepreneurial spirit.

Additional Details

  • This position is remote. Preference will be given to candidates residing in Arizona, California, Colorado, Texas and Virginia.
  • Ability to work a flexible schedule based on workload and deadlines.
  • Ability to travel and work after hours for donor visits and events as needed.
  • Access to transportation for business usage.
  • Satisfactory completion of organization’s background investigation.
  • Must sign an employee confidentiality agreement.
  • Responsible for following SRF’s policies and established processes.

  • Required Travel: 0 – 20%.

This is a full-time, hourly non-exempt position, Monday through Friday, 8:30 a.m. – 5:00 p.m. PST (with some flexibility).

The position is remote for those residing in California, Arizona, Colorado, Texas, Virginia.

The selected individual must satisfactorily complete our background investigation, and sign a non-disclosure agreement.

Pay range: $25.00 - $32.83 per hour, depending on skills, experience and education.
