Position Summary

  • Responsible for identifying, recommending, and implementing organizational and operational process improvements, workflows, and automation opportunities for the Legal Department
  • Train staff on software tools and other Legal Department technology solutions to support the Legal Department's operations
  • Support General Counsel with respect to employee managerial functions and reimbursement and budget processes
  • Train and supervise legal assistants and paralegals
  • Manage legal projects at the request and direction of the General Counsel
  • Other position-related tasks, as assigned

Responsibilities

SUPERVISORY RESPONSIBILITIES:

  • Help to train, supervise, and review the work of legal assistants, paralegals and staff
  • Manage payroll (time off requests and timesheet approval)
  • Assign various responsibilities as needed

DUTIES AND RESPONSIBILITIES:

  • Assess current legal operations capabilities and needs and propose and implement both short- and long-term strategies to improve operations that result in direct and meaningful impact
  • Oversee, improve, and streamline contract management systems and ensure proper entry and execution of all contracts in accordance with SRF policies
  • Take the lead in the implementation of process improvements and third-party tools to create and support a legal matter and task management system with an eye toward efficiency, compliance, and ease-of-use in alignment with various cross-functional teams.
  • Assist in preparing the annual budget for the department and monitoring of the budget throughout the year
  • Oversee and manage bill payment and expense reimbursement processes to ensure timely payments
  • Assist General Counsel with recruitment and selection of department staff and attorneys
  • Assist General Counsel with managing employee issues, time-off, and timecard processing, and other employee matters
  • Train and supervise administrative staff, including legal assistants and paralegals
  • Assist with legal compliance matters and complex paralegal functions as needed
  • Assist with the intake of general legal requests and issues
  • Assist with the Insurance, Contracts, Litigation and Planned Giving functions as needed
  • Honor and maintain a strict level of confidentiality
  • Responsible to follow SRF’s policies and established processes
  • Other position-related tasks, as assigned

Requirements

  • Five or more years of experience as a legal operations manager or lawyer, or 10 or more years of experience as a paralegal, including experience managing complex legal projects, functions, and tools
  • Juris Doctorate, Bachelor’s degree, or paralegal certification from a program approved by the American Bar Association a plus
  • Nonprofit corporate law and/or in-house legal department experience is a plus
  • Proven experience in legal operations management or a similar role within a law firm or legal department
  • Strong understanding of legal processes and procedures
  • Ability to assess legal department needs, identify practical solutions, and implement legal projects management tools to effect measurable workflow improvements
  • Demonstrated understanding of standard legal systems and technologies
  • Excellent project management, organizational, communication, and interpersonal skills
  • Strategic thinker with the ability to work autonomously but also collaborate effectively within and across departments and build consensus
  • Professional ease in working collaboratively with Legal Department and other SRF departments
  • Excellent communication skills and the ability to represent SRF adequately when dealing with the public
  • The ability to function well in a multi-task environment
  • Proficiency in Microsoft Office programs required; proficiency in legal matter or task management programs preferred

Additional Details

This is a full-time, salaried exempt position, Monday through Friday, 8:00 a.m. – 5:00 p.m. PST. Nevertheless, you must be able to work a flexible schedule based on workload and deadlines.

The position is hybrid (working from home with possible infrequent visits to SRF locations).

Pay range: $72,000 - $90,000 per year, depending on skills, experience and education.
