Position Summary

  • Assist General Counsel, lawyers and other paralegals in the Legal Department of an international nonprofit organization.
  • Provide administrative and clerical support to the General Counsel and Department.
  • Assist with Legal Department practice areas and functions as needed.
  • Assist with document and file organization.
  • Other position-related tasks as assigned.

Responsibilities

  • Assist the General Counsel with word processing, preparing legal documents, board minutes, memorandums and presentation materials, managing calendars and appointments and note taking.
  • Handle incoming calls and correspondence to the Legal Department.
  • Provide administrative support to the Legal Department, including:
    • Prepare legal and other invoices for approval and payment.
    • Track and report legal and other expenses.
    • Process and submit monthly purchase card report.
    • Assist with tasks relating to onboarding and offboarding employees, including
      • Ordering office equipment, software and supplies for current staff and new hires.
      • Coordinating the return of equipment from exiting employees.
    • Managing daily mail (collect, organize, scan, distribute, etc.).
    • Complete various compliance, annual state filings, applications and registrations in various states.
    • General administrative support to the Department’s lawyers, paralegals and staff as assigned.
  • Provide administrative and intake support for the insurance function.
  • Organize and maintain files.
  • Responsible for following the Department’s and SRF’s established standards, policies, and processes and adhering to SRF’s established values.
  • Honor and maintain a strict level of confidentiality.
  • Other position-related tasks as assigned.

Requirements

  • At least three years’ experience as a Legal Secretary or four years as an Administrative Assistant, preferably in a law firm or in-house legal department is required.
  • Bachelor’s degree, paralegal certificate from a program approved by the American Bar Association, or current attorney certification of completion of paralegal requirements is preferred.
  • Excellent project management, organizational, communication, and interpersonal skills.
  • Strong attention to detail and dedication to accuracy.
  • Ability to work well independently as well as in a collaborative, team environment.
  • Ability to represent SRF and Legal Department appropriately when dealing with outside counsel, vendors, the SRF monastic community and other SRF departments.
  • Proficiency in Windows OS, Microsoft Office 365 is required.
  • Proficiency in legal document management, and/or task management systems is preferred.
  • Ability to sit at the computer for extended periods of time, to lift and carry up to 15 lbs., and to walk on the SRF grounds to deliver and pick up documents.

Additional Details

This is a full-time, hourly non-exempt position, Monday through Friday, 8:00 a.m. – 5:00 p.m. PST (adjust schedule accordingly).

Pay range: $25.00 - $30.00 per hour, depending on skills, experience and education.
