Position Summary

Provide assistance and administrative support to Planned Giving Program Manager on all aspects of bequest and estate administration as well as in working with donors on planned gifts.

Responsibilities

  • Support and assist Planned Giving Program Manager; accountable for thorough follow-up and completion of all assigned and position-related tasks;
  • Assist with the incorporation of the Planned Giving Program into the Department of Philanthropic Planning;
  • Maintain and review bequest files for follow-up and to ensure that legal documents received by SRF are valid;
  • Assist with and expand outreach to SRF membership;
  • Communicate with U.S. SRF members who inquire about making bequests or gifts to SRF, including bequests within estate plans, beneficiary-designating SRF on financial accounts, life insurance, etc., donations of appreciated securities, real property or Qualified Charitable Distributions from IRAs, etc., and to answer their questions as needed by phone, email, and in meetings, including in person meetings at Convocation and other outreach events;
  • Communicate with international SRF members who inquire about making bequests to SRF within their estate plans, and to answer their questions as needed by phone and/or email, or in person meetings at Convocation;
  • Assist in the administration of wills and estates of SRF members and friends by preparing and completing legal and financial documents and corresponding with the appropriate persons and offices throughout the probate or administration process until the bequest distribution is received;
  • Coordinate preparation of documents required for SRF to receive planned gifts including coordination with other departments.
  • Prepare explanatory memorandums to provide history and analysis when requesting approval signatures of the Office of the Treasurer;
  • Generate routine and ad hoc donor data reports as needed to support internal reporting and analysis requirements, as well as donor outreach and support initiatives;
  • Draft thank you letters, memorandums, notes of meetings and of legal counsel;
  • When necessary, help the Legal Department manage more complex gifts and contests and other disputes;
  • Perform administrative and clerical tasks, such as shredding, shipping, filing, preparing refreshments for meetings, etc., with agreeableness and efficiency in support of paralegal duties;
  • Responsible for adhering to SRF’s policies and established processes;
  • Other position-related tasks as assigned.

Requirements

  • A minimum of 3 years’ working experience as a legal assistant (or paralegal) in corporate, probate, and/or estate planning areas with a working knowledge of estate planning and estate tax is advantageous. Commensurate experience within a non-profit planned giving office may be considered in lieu of a legal background;
  • Minimum of one year working experience in the non-profit sector is advantageous;
  • Experience working with financial and custodian institutions and investment brokers, and banking methods to transfer cash and stock donations is advantageous;
  • College/university degree preferred with good academic credentials, accreditations, and licenses if any;
  • Ability to learn and apply SRF methods and training to assist SRF membership and friends with their legacies to SRF;
  • Ability to interact and communicate effectively with SRF members, financial institutions, and attorneys/executors/trustees/administrators;
  • Excellent interpersonal skills with ability to work harmoniously with other staff members, to take instructions from others, to be mentally engaged in a meaningful way that shows understanding and openness to contribute and share information, to function as a viable member of the department;
  • Empathetic, kind and helpful in interactions with SRF members upholding SRF principles and teachings;
  • Excellent writing and organizational skills;
  • Ability to honor and maintain a strict and high level of confidentiality and integrity are critical;
  • Organized, systematic and sustained effort, detail oriented, excellent memory, thorough in follow-up, self-motivated, ability to work independently, comfortable with learning and using digital tools, emotional intelligence, punctual, reliable, honest, discreet, and willingness to take on additional tasks;
  • Proficient in use of Microsoft Office programs required; CRM data base programs, and PG Calc or other planned giving software preferred;
  • Regular in attendance;
  • Physically capable of lifting up to 15 lbs; sit, stand, and maintain concentrated focus on computer for extended periods.

Additional Details

  • This position can be partially or fully remote. Preference will be given to candidates who reside within California;
  • Able to work a flexible schedule based on workload and deadlines;
  • Access to own transportation for business usage;
  • Satisfactory completion of organization’s background investigation;
  • Must sign an employee confidentiality agreement;
  • Required Travel: 0 – 20%;
  • Salary commensurate with experience;
